PRIVACY POLICY - JOB VACANCIES SECTION AND STAFF RECRUITMENT

This privacy policy applies to Grupo Iberostar’s job vacancies section and staff recruitment selection processes.

Please read the policy carefully, as it contains important information about how your personal data will be processed and the rights you are entitled to under the relevant legislation in force. We reserve the right to update this privacy policy at any time due to business decisions or to comply with changes to legislation or case law. If you have any doubts or need further clarification with regards to this privacy policy or your rights, please contact us through the channels indicated below.

You declare that the information you provide, now or in the future, is correct and truthful and undertake to inform us of any changes to said information. When providing the personal data of a third party, you agree to obtain prior consent from the party in question and to inform them of the content of this policy.

Generally speaking, the fields on our forms that are marked as mandatory must be completed in order for us to process your requests.

1. Who is responsible for processing your personal data?

The administrator of Grupo Iberostar’s job vacancies section and the company responsible for processing the data of people using the service is the entity IBEROSTAR HOTELES & APARTAMENTOS, S.L., with registered address at C/ General Riera 154, 07010, Palma de Mallorca, Balearic Islands, Spain (hereinafter GRUPO IBEROSTAR).

The company responsible for carrying out and evaluating aptitude tests for specific posts is the entity BALEAR DE INVERSIONES FINANCIERAS, S.L., with registered address at C/ General Riera 154, 07010 Palma de Mallorca, Balearic Islands, Spain.

The companies responsible for staff recruitment processes and for processing the data of candidates that apply for the posts are the Grupo Iberostar companies that have organised the processes.

2. What personal information do we collect?

The data we process is the data we collect:

  • From your curriculum vitae and the information that you provide when registering on our job vacancies section or when you participate in a recruitment process;
  • From the recruitment processes in which you participate;
  • From the employment website you signed up to in order to participate in a specific recruitment process;
  • When applicable, from the aptitude tests you participate in.

The type of data we process usually consists of:

  • Contact details and data that identifies an individual, such as an ID document number/tax number, name, residency permit number (when applicable), address, telephone number, signature, image/voice, National Insurance/private insurance number, and email address;
  • Personal data, such as language spoken or nationality;
  • Data regarding social circumstances;
  • Academic and professional data;
  • Employment details data;
  • When applicable, a candidate’s disability and the degree of that disability. The data is processed in compliance with legal obligations, for example, concerning the social integration of people with a disability.  In the event you have participated in an aptitude test, the result of that test.

3. Why do we process your data?

The data of candidates applying for a job is processed in order to administrate Grupo Iberostar’s job vacancies section and selection processes carried out by, or for, Grupo Iberostar’s companies.

Your data will also be processed in order to keep an updated record of participation in the group’s selection processes, for statistical purposes and for fulfilling our legal obligations.

For specific posts, we may evaluate aptitude profiles of workers and candidates in order to manage employment relationships or when considering them for the selection processes. These profiles are obtained from aptitude tests in which interested parties participate.

4. Who can we share your data with?

The curricula vitae and work profiles of candidates will be forwarded to companies and hotels of Grupo Iberostar that carry out their activity in their country of residence and/or in the countries where the aforementioned candidates have applied for job offers. Registration on the job vacancies section and participation in our selection processes necessarily involves international transfer of your data, whenever the aforementioned companies are located outside the European Economic Area.

The results of the processes you have participated in will be incorporated into your profile in the Grupo Iberostar’s job vacancies section, in order to update the participation record of the Group’s selection processes.

Details regarding your aptitude profile will not be forwarded to other companies in the group, only data relating to suitability or non-suitability of your profile for the post.

We will not forward your data to third parties outside of Grupo Iberostar, except in order to comply with legal obligations or with your prior consent.

5. Legal grounds for processing

The legal grounds for processing your data is your willingness to participate in our staff recruitment processes.

The legal grounds for processing of health data is founded on your explicit consent given when you provided us with the data and in order for us to comply satisfactorily with the statutory requirements regarding the rights of people with a disability and their social inclusion.

The legal grounds for evaluation of aptitude tests is founded on your explicit consent given when you participate in the selection process and perform the relevant aptitude test.

The legal grounds for forwarding of candidate data between Grupo Iberostar’s companies is founded on the willingness of the interested parties to participate in our job vacancies process and the legitimate interest of the group for internal administrative purposes and improving the administration of the selection processes.

The legal grounds for production of statistics is founded on our legitimate interest in evaluating the efficiency of our selection processes.

6. How long will we store your data?

We generally store personal data for the duration of your relationship with us and, when applicable, during the time periods set forth in the relevant legal regulations and for the duration necessary to handle any possible liabilities that arise as a result of data processing. We will delete your data once they are no longer relevant to, or necessary for, the purposes for which they were collected. Specifically:

  • The data of the users of our job vacancies section and the record of their participation in our selection processes is kept as long as its deletion is not requested.
  • The curricula vitae are kept for a year starting from their last update, therefore, candidates must update their information if they wish to continue to be considered for future selection processes.
  • Notwithstanding the consolidation of the participation record on the group’s job vacancies section, the selection records held by the companies and hotels of the group will be cancelled one year after the process is completed. However, in the event the candidate is hired, the data regarding their selection process will be kept in their work file.

7. What are your rights?

You have the right to receive confirmation of whether or not we are processing your personal data, and, in such case, to access the data.

Likewise, you can request that any incorrect data be rectified or incomplete data be completed, as well as request removal of your data when, among other reasons, the data is no longer necessary for the purposes for which it was collected.

In certain circumstances, you can request that the processing of your data be limited. In such cases, we will only process the data required for filing, processing or responding to complaints, or with a view to protecting the rights of other parties.

In certain situations, and for reasons related to your specific circumstances, you may object to the processing of your data. In this event, we will stop processing the data unless legitimate compelling grounds are given that prevail over your interests, rights and liberties, or for the formulation of, exercising of or response to complaints.

At any time you may request removal from our job vacancies section and revoke your consent for participating in our selection processes, without this affecting the legality of the processing based on consent given prior to its removal.

Additionally, under certain circumstances, you may ask for your data to be transferred to another data controller. You also have the right to present a complaint before the Spanish Data Protection Agency or any other competent authority.
